Terms and Conditions 

Please read these before you click to agree. This is not a race competition but it is important that all those entering abide by the following rules to ensure safety for all riders and road users. 
 
You must be over 18 years of age on the day of the event to participate BUT younger riders may ride the route with written parental consent. Any registrations received by riders 18 years and under will be contacted by the organisers prior to the event. 
A parent or guardian must accompany riders under the age of sixteen. 
Riders will be responsible for the roadworthiness of their own cycle. 
On arrival on the day you will be required to register in person at a clearly marked registration point. You will then be given a bike number with cable ties which must be attached before you start. Riders will not be able to participate without a clearly visible number on their bike. 
E-bikes are permitted in this charity ride as we wish to maximise participation and encourage as many riders as possible. However it is the responsibility of the rider to arrive with suitable battery charge. There is no charging facility available at the event or at any point during the course. 
You are requested to ride in single file where appropriate and no more than 2 abreast at any time. Please be aware of your fellow cyclists and any other traffic. Please always indicate your intention to stop or change direction. All cyclists must adhere to and obey the Highway Code and laws of England, Scotland, Wales and N. Ireland where applicable and extend all reasonable courtesy to other road users. 
You may not deviate from the official route. There will be clear signage marking the route. Direction will be indicated by signs placed at or before junctions. It is the responsibility of all riders to follow the designated route. Roads that deviate from the official route have not been risk assessed. 
It is mandatory that ALL riders wear a safety approved cycling helmet complying with latest standards. Any rider not wearing a helmet will not be allowed to participate as you will not be covered by the event insurance. The rider must accept this as a condition of entry. 
Do not use your mobile phone when riding. If you must take or make a call, please do it safely at the side of the road. 
The event will take place regardless of bad weather and will only be re-routed or stopped for reasons of safety as deemed by the organisers. Entry fees, however, are not refundable once the event has commenced. Conditions regarding refunds and cancellations are detailed below. 
Café Ventoux will provide refreshments including drinks and cakes in the Café Ventoux Car park at the end of each 50km loop. A hot sandwich meal and drink is also provided to all finishers. This is included in your entry fee. 
In addition to refreshments provided we advise participants to carry 2 drinks bottles, energy bars, tools, replacement inner tubes, suitable wet weather gear, money, mobile phone, and a working pump. Please check the weather forecast in advance and where appropriate carry extra clothing to complete the ride being undertaken, taking into account the route and possible adverse weather conditions. 
All riders MUST carry a form of identification showing their name and contact details of a person to be advised in the event of an accident. 
I understand that I participate completely at my own risk and that the organisers will not be held responsible for any damage, injury or loss however caused by me outside of the third party insurance in place for the duration of the event. 
I declare myself medically fit and able to participate in the event distance selected . By entering the challenge, I waive any liability on the part of the organiser due to medical conditions. 
If I am under 18, I have the written consent of a parent or guardian to ride the course, which will be provided before the event takes place. If I am under 16, my parent or guardian will accompany me throughout the duration of the event by bicycle. 
The management of hazards, terrain and judgement of traffic during the event rest entirely with the participant. 
This event is a celebration of cycling for the enjoyment of all participants in the glorious countryside. Please respect other users of the routes in particular horse riders and farming vehicles. Littering is strictly prohibited. 
 
EVENT CANCELLATION AND REFUNDS 
This event will take place regardless of weather conditions unless these are extreme and considered a risk to the health and safety of participants as identified by the organisers. This decision will be taken no later than 1 week before the event date and will be communicated by email to all registered riders. No alternative event date will be offered at this point. 
 
In the unlikely event that the organisers need to take this action, we will send all registered riders a t-shirt and pair of socks by post as these will have been purchased already. The items will be sent to the address provided by each rider when entering the event. 
 
Each rider will also be given the opportunity to request a refund of £20, details of which will be sent by email. If you do not request a refund your money will be given directly to the charity. 
 
DATA COLLECTION AND USE 
Once you have entered the event your details are held in our database for the purposes of communicating essential event information and marketing future events. By entering the event you are giving consent for us to contact you in the future. If you do not wish to be contacted by Café Ventoux after the event, please advise rosie@cafe-ventoux.cc and your details will be removed. 
 
WHO IS MY DATA SHARED WITH? 
Café Ventoux is the only organisation that will hold all of the data you have given in order to enter this event. Partial data is shared in the following way in order to deliver the event. 
 
First Aid providers - Medical data is ONLY passed to the First Aid provider in the event of a medical incident and when the participant is unable to give this information themselves. Providing relevant medical details is not a condition of entry, although it is strongly recommended you do so for your own health and safety. 
 
4Ed Registered Charity. As a beneficiary of the proceeds for the event we will share your data with the charity at the point of registration and only for the purposes of this event. 4Ed may will make contact with you in connection with your support for this event. You will then be given the opportunity to be removed from their data base if you wish.
